SUMMARY: Under the general direction of the Early Childhood Development Program Office Manager, the Receptionist will provide clerical and administrative support in the daily operation of the Early Childhood Development Program (ECDP). He/ She will perform routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files and dispatching buses.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Adhere to all policies and standards as per Tribal Personnel Policies, Head Start Performance Standards, State Licensing Regulations, the NAEYC Code of Ethical Conduct and all other applicable regulations pertaining to health, safety and sanitation
  • Composes and types routine correspondence. Completes agenda and meeting minutes for weekly meetings
  • Organizes and maintains filing system; staff files and vendor files
  • Provides meet and greets to all persons entering the ECDP building
  • Maintain general knowledge of all departments within the Tribal organization to help in answering questions from visitors, or other staff
  • Answers, screens, records messages and conducts phones calls as assigned
  • Ensures completion of the visitor log, daily logbook and updates calendars. Updates and disperses monthly menu, also updates daily menu board
  • Accepts and distributes mail. Completes mail log for incoming/outgoing mail
  • Prepares, submits and ensure follow-up on all work orders requested by management or staff
  • Dispatches buses for morning and afternoon runs. Assist staff with calling families regarding busing issues/concerns
  • Ensures all emergency evacuation sheets are up to date for staffing Works with families and teaching staff to keep child emergency evacuation sheets up to date for classroom and bus routes
  • Creates flyers for upcoming events, reminders for families and monthly reminders
  • Completes receiving reports for blanket purchase orders, assists Office Manager with obtaining orders
  • Keep up to date inventory of office and copier supplies
  • Completes ECDP errands; purchase of supplies/materials and obtaining signatures for approval forms
  • Assist the ECDP Program Manager and Office Manager with various job tasks. Completes any other duties as assigned

SUPERVISORY RESPONSIBILITIES: No supervisor requirements for this position

EDUCATION and/or EXPERIENCE:

  • High school diploma or equivalent
  • Computer skills are required
  • Background or training in secretarial skills is preferred
  • Knowledge of the Mohawk language and traditions is an asset, as is knowledge of both the Head Start and Child Care programs

OTHER SKILLS and ABILITIES:

Strong oral and written communication skills required. Must have computer skills including Microsoft programs

A list of qualified candidates is created from interviews that may be used to appoint individuals to similar positions within the Saint Regis Mohawk Tribe for a period of six months.
