SUMMARY:  The Dental Assistant supports the delivery of preventive and restorative dental services within a school-based and clinical setting. This position works closely with the dentist and dental hygienist to coordinate administrative, clinical support, and reporting functions necessary for program success.
 

Mandated Reporter: Must become a mandated reporter and maintain that status throughout employment. This includes completing any necessary training and adhering to all reporting obligations as defined by applicable laws and tribal policies.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

Administrative Duties

  • Assist the dentist and dental hygienist during school-based dental clinics as appropriate for scope of role
  • Support dental scanning and documentation processes (e.g., intraoral scanning, charting support, record preparation)
  • Ensure accurate organization and filing of student dental records in compliance with HIPAA
  • Prepare daily clinic materials and ensure proper documentation is completed
  • Distribute, collect, track, and validate parental/guardian consent forms for dental services
  • Manage Release of Information (ROI) forms and ensure proper authorization prior to record sharing
  • Scan, upload, and index consent forms, ROIs, insurance cards, and related documentation into electronic systems
  • Follow up with families, schools, or partners regarding missing or incomplete paperwork
  • Compile required data for local, state, or federal funding agencies
  • Ensure program reports, deliverables, and documentation are submitted accurately and on time
  • Assist with audits, site visits, or funder reviews as needed
  • Serve as a liaison between the dental program, school staff, families, and community partners
  • Schedule clinic days and coordinate logistics with schools
  • Support culturally responsive communication with families and community members


Clinical Duties

  • Prepare treatment areas before appointments (room setup, infection control, supplies)
  • Greet and accompany patients to the clinic area and assist with chair positioning
  • Provide basic chairside assistance during dental procedures (e.g., passing instruments, suctioning, maintaining clear field, expose and develop radiographs, create and order impressions)
  • Support behavior management by offering reassurance and age-appropriate explanations
  • Assist with patient flow to ensure timely completion of scheduled visits

 

SUPERVISORY RESPONSIBILITIES:  There are no supervisor requirements for this position.

EDUCATION AND/OR EXPERIENCE:

High School Diploma or GED;

AND

1-year experience in medical office or office environment.

OR

High School Diploma or GED and 1-year work experience in a dental office preferred. 

 

OTHER SKILLS AND ABILITIES: Strong oral and written communication skills required. Must have excellent computer skills including word, excel, and experience with varying databases. CPR/First Aid certified or willing to be certified within the first three months of work. Must be punctual. Travel between school sites is required by use of a personal vehicle. Must be able to carry 50 pounds.

 

REASONING ABILITY: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.  Ability to interpret a variety of instructions furnished in written, oral, or scheduled form.
