Summary: Under the direction of the Director of Education, the Program Assistant supports the administrative and organizational functions of the Education Division. Responsibilities include coordinating office operations, assisting with new employee onboarding, managing correspondence and filing systems, reviewing and approving supply requests, and assigning and overseeing clerical tasks.

 

Essential Duties and Responsibilities include the following: 

  • Manage office services by ensuring Education Division/TLAP operations and procedures are well organized, correspondence is effectively managed, filing systems are maintained, supply requisitions are reviewed and approved, and clerical duties are appropriately assigned and monitored.
  • Review, prepare, and format documents, reports, correspondence, and related materials for Education Administrators.
  • Prepare and process electronic requisitions (e‑requisitions) for the Education Division Tribal Learning Assistance Program (TLAP).
  • Respond to inquiries related to the Education Division and provide accurate information or assistance as appropriate.
  • Coordinate and support transportation, travel, and event requests.
  • Monitor inventory levels and requisition or purchase supplies as needed.
  • Greet and assist visitors and clients, promoting a positive and welcoming image of the Education Division.
  • Receive and manage incoming telephone calls and inquiries.
  • Schedule and coordinate meetings and conference calls.
  • Draft correspondence, reports, and presentations.
  • Record, transcribe, and distribute meeting notes and minutes.
  • Develop and maintain financial databases and reports.
  • Communicate internal work procedures and organizational policies to new staff and provide support during the onboarding process.
  • Assist in coordinating activities with Education Division Programs and personnel, and provide support at community events as required.
  • Participate in staff meetings, trainings, and professional development activities.
  • Maintain strict confidentiality at all times.
  • Comply with all Federal, Tribal, and program policies and procedures.
  • Perform other related duties as assigned

 

Mandated Reporter: Must become a mandated reporter prior to having contact with children in a job-related capacity and maintain that status throughout employment. This includes completing any necessary training and adhering to all reporting obligations as defined by applicable laws and tribal policies. 

 

Supervisory Responsibilities: There are no supervisor requirements for this position.

  • Knowledge of Mohawk language and traditions is preferred.

 

Education and/or Experience: 

  • Associates Degree in a two-year college or university in planning, organizational leadership, education, psychology, office management, human services or related field.


    AND/OR
     

  • Three (3) years related experience and/or training; or equivalent combination of education and experience. 

 

Other Skills and Abilities: Strong oral, written and interpersonal communication skills is required. Must have computer skills including Microsoft programs.  Demonstrated experience in handling a wide range of administrative related tasks and will be exceedingly well organized and flexible.

  • Foster a collaborative environment by engaging staff in shared problem‑solving, planning, and ongoing reflection to support both individual growth and program improvement.
  • Work collaboratively with Education Division staff and other Tribal programs to deliver high‑quality services and supports to the clients served.

 

Must have and maintain a valid driver’s license in accordance with the Saint Regis Mohawk Tribe’s Fleet Policy.
