Summary: Perform routine administrative functions to support operations including; answering and forwarding calls, various requestions, organizing and maintaining paper and electronic files, and providing information to the public.
Essential Duties and Responsibilities include the following:
- Answer telephones and give information to callers, take messages, and transfer calls to appropriate individuals.
- Greet visitors and address inquiries, or direct individuals to the appropriate personnel according to their needs.
- Create, maintain, and enter information into file server, spreadsheets and databases.
- Maintain records management database systems, including filing systems, and inventory.
- Use computers for various applications, such as database management or word processing.
- Operate office equipment, such as fax machines, copiers, and phone systems and arrange for repairs when equipment malfunctions.
- Reconcile travel expenditures, fuel purchases, and credit card transactions using applicable software programs.
- Create requests for purchase orders as requested and maintain a record.
- Submit Purchase orders as required to vendors or staff to proceed with purchase request.
- Complete and submit receiving reports as needed.
- Provide support for division travel requests.
- Create or utilize Adobe sign for payment requisitions for remittance.
- Provide assistance to Visitors.
- File invoices and statements to appropriate folders for program.
- Check division mail, Prepare outgoing inter-office mail.
- Provide administrative support to Division Director, Assistant Director, Program Managers and other Division staff as requested.
- Other assigned Duties as assigned.
Mandated Reporter: Must become a mandated reporter prior to having contact with children in a job-related capacity and maintain that status throughout employment. This includes completing any necessary training and adhering to all reporting obligations as defined by applicable laws and tribal policies.
Supervisory Responsibilities: There are no supervisor requirements for this position.

Education and/or Experience:
- Associate’s degree with two (2) years of administrative experience.
Or
- High School Diploma and four (4) years in administrative experience.
Clerical - Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures.
Customer Service - Knowledge of principles and processes for providing customer service.
Other Skills and Abilities: Strong writing and communications skills, strong organizational and interpersonal skills. Ability to work independently. Must have excellent computer skills including word, excel, and access, experience with varying databases is beneficial. Must be able to multi task in a fast-paced environment.
Reasoning Ability: Ability to solve practical problems and deal with a variety of situations. Ability to interpret a variety of instructions in written, oral, diagram, or schedule form
