SUMMARY: Under the direction of the Assistant Executive Director, the Facilities Director is responsible for ongoing operations and maintenance of all tribal government buildings and grounds. The Facilities Director ensures proper preventative maintenance and repair activities take place and responds to the facilities needs of the various tribal programs. Reviews, recommends, oversees general renovation and repairs, equipment replacement and contracted services. Plan, administer and control the budgetary process, actively participate in engineering reviews and planning for existing and future facilities. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Develop proper preventative and other maintenance programs to care for all tribal government buildings; maintenance and custodial services, organize and plan with user groups the repair and contracted service work schedules
  • Ensures creation and preservation of building-specific repair-logs to track major systems maintenance needs, repair types, dates and forecasts.
  • Works with Division Directors, Safety Officer, Compliance and Executive Director to ensure all tribal government buildings meet health and safety standards
  • Ensures a proper system is in place to manage work-order requests. Tracking data for response to and resolution of work orders. Develop monthly reports to detail work order trends and other metrics.
  • Implements, monitors and adjusts program operations to ensure best possible outcome is ensured to meet the needs of the programs being serviced through effective communication and consultation to include regular onsite inspection and assessments. Monitors, implements and directs maintenance and repair activities
  • Reviews and update contract renewals prior to expiration to ensure the most recent details are included and deleted prior to posting, manages all vendor contracts such as, but not limited to Snow removal, elevator service and inspection, fuel oil, propane, generator, fire safety systems, sanitary services
  • Communicate with program Directors and staff the implementation and operation of the Web-based Work Order system
  • Consult with Facilities team leaders to ensure effective budget projections are identified in preparation of the annual operational budget within Indirect Cost Pool
  • Works in close consultation with the Executive Directors office, Compliance Department, Corporate Compliance and Office of Emergency Management to ensure adherence to all tribal policies and procedures
  • Coordinates work effort with the Maintenance Supervisor and Custodial Supervisor to, establish policies and adjusts work procedures to maintain a clean and safe working environment for all Tribal Buildings and public areas.
  • Participates in the planning of new or expansion of Tribal Buildings via SRMT Project Review Team; working closely with Planning & Infrastructure Director and staff, planning facility layout and designs to meet the need of the project proponent, developing preliminary budget and construction schedule for existing facilities as pertains to minor renovation and construction projects, office renovations or modifications
  • Promotes a 'customer-service' mentality and a team approach within Facilities Maintenance Team, performs follow-up reviews with programs being serviced on a regular basis,   
  • Works with supervisors to ensure there are internal policies, procedures and internal controls to ensure compliance. Establish effective inventory control processes to safeguard maintenance and custodial equipment and tools. Maintains an effective monitoring program and policy to ensure bulk stored items are effectively stored and registered by programs utilizing the facility.
  • Oversee the Maintenance Supervisor and the Custodial Services Supervisor directly and indirectly the maintenance and custodial staff
  • Exhibits a courteous and professional demeanor with colleagues and community members
  • Other related duties as requested

 

SUPERVISORY RESPONSIBILITIES: Facilities Director shall carry out supervisory responsibilities in accordance with the organization's policies and applicable Tribal rules. Responsibilities also include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining staff; addressing complaints and resolving problems within the Facilities Division. The Facilities Director directly supervises a Maintenance Supervisor, Custodial Supervisor and an Administrative Assistant.

 

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Must be well versed in construction, building standards and codes, repair of facilities equipment and infrastructure to include but are not limited to Electrical, Plumbing, HVAC and building management. EDUCATION AND/OR EXPERIENCE

  • Bachelor's Degree (B. A.) from four-year College or University in a related field AND
  • Five (5) years’ related experience and/or training; Vocational /License Certification in a relevant building Trade, Facilities - Maintenance Management
  • Five (5) years supervisory experience is a requirement for this position.

OR

  • Equivalent combination of education and experience (10 Years Total).

 

OTHER SKILLS AND ABILITIES: Strong oral and written communication skills required. Must have excellent computer skills including word, excel, and experience with varying databases. ADP training is an asset but not required. Computer testing in the applicable skills may be a requirement during the interview process.

 

REASONING ABILITY: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form., ability to adapt to changing work strategies to better serve the needs of the client, be flexible and creative to solve service and repair needs 

 

Mandated Reporter: Must become a mandated reporter prior to having contact with children in a job-related capacity and maintain that status throughout employment. This includes completing any necessary training and adhering to all reporting obligations as defined by applicable laws and tribal policies

 

Must be at least 18 years of age, have and maintain a valid driver's license with a clean driver’s abstract in accordance with the Saint Regis Mohawk Tribe's Fleet Policy.
